Emails

The Emails module lets you synchronise all your email accounts and manage all your emails in one place.

Set Up Your First Email Account

When you open the 'Emails' tab for the first time with no account configured, Unusual Suite starts a setup assistant.

  1. Select your email provider in the 'Connect to my...' field.
  2. Follow the on-screen instructions to complete the configuration.

Unusual Suite imports all existing emails from your inbox and continues to import any new emails going forward. It may take a little while before imported emails appear in the Power-Grid.

Note: Unusual Suite supports IMAP/SMTP accounts only. POP3 accounts are not supported.

Set Up Multiple Email Accounts

  1. Open the Configuration module.
  2. Select 'Email accounts' in the selection menu on the top left.
  3. Click the 'Add' icon to add a new email account.
  4. Select your email provider in the 'Connect to my...' field and follow the instructions.
  5. To create contacts and organizations automatically from incoming email signatures, check the 'Process email signatures' checkbox.

Make sure you check 'SMTP default account' for exactly one of your email accounts. Unusual Suite uses that account to send all system-generated notification emails.

When you have multiple email accounts configured, the 'Emails' Power-Grid shows a dropdown on the top right. Use it to view one specific account or all accounts together.

Compose an Email

  1. Click the 'Compose email' icon on the top right.
  2. If you have more than one email account, select the sending account.
  3. Enter the recipients and a subject.
  4. Write your message.
  5. To add attachments, click the 'Add attachment' icon.
  6. Before sending, choose underneath the 'Send' button whether to move the sent email to the 'Sent' folder or to the 'Trash' folder.

Note: Unusual Suite can only send emails with a total size of up to 20 MB.

View an AI Summary of an Email

Each email offers an optional summary generated by artificial intelligence (AI).

  1. Open the email.
  2. Click the 'Show Summary' icon to generate and view the summary. Generating the summary may take a moment.

If the email contains contacts, organizations, or activities, the AI extracts those data records. You can choose to link the email to those records and import any that do not already exist.

Send a Blind Carbon Copy (BCC)

  1. Click the 'Configure' icon while composing an email.
  2. Select 'Show BCC' to make the BCC field available.

Link an Email to Existing Data Records

Use the right-hand link panel to link an email to projects, organizations, or contacts.

Read and Manage Emails

Hover over any email in the Power-Grid to reveal the Quick-Action bar on the right and a preview of the email content. The Quick-Action bar provides icons for actions such as 'Mark as read' and 'Move to Done folder'. To open an email in a new tab, click the 'Open in new tab' icon.

To filter your view, use the dropdown on the top right. Select 'Inbox (unread)' to show only unread emails, or select any other folder to filter by that mail folder.

Delete Spam Emails

Click the 'Delete as spam' icon on the Quick-Action bar, or click it while reading the email. The email moves to the trash folder.

Unusual Suite then performs the following actions automatically:

  • Deletes any contact or organization that was generated from the email's 'From' address.
  • Records the spam address in the database. You can view recorded spam addresses in the Configuration module under 'Email addresses' on the top left. The address is marked as 'Spam'.
  • Moves any future emails from that address to the trash folder automatically.

Configure Your Email Signature

  1. Open the Configuration module.
  2. Select 'Email accounts' in the dropdown on the top left.
  3. Click the email account for which you want to edit the signature.
  4. Add your signature as both HTML and plain text.

Unusual Suite now attaches your signature to all outgoing emails from that account.

Configure Email Templates

Email templates let you quickly compose consistent messages for replies or new emails.

  1. Open the Configuration module.
  2. Select 'Email templates' in the dropdown on the top left.
  3. Click the 'Add' icon to create a new template.
  4. Compose the template content.

To use a template when composing an email, click the 'Template' icon and select the template you want to apply.

Email templates support variables. Variables are placeholders that Unusual Suite replaces with actual values when the template is applied. The available variables depend on the context in which you use the template.
